Booking conditions for treks and tours
These are our standard booking conditions. Your written quote and confirmation email form the binding agreement and take precedence where they differ. Have them reviewed against your final commercial terms before launch.
1. Booking and confirmation
A booking is confirmed when we have received your deposit and the passport details needed for permits, and have sent you a written confirmation. Prices quoted on this website are indicative starting rates per person and are confirmed in writing for your specific dates, group size and hotel standard.
2. Payment
A deposit is payable on booking to secure permits, domestic flights and peak-season lodge space. The balance is due before your trek departs from Kathmandu or Pokhara. Payment methods and the exact deposit percentage are stated in your quote.
3. Cancellation by you
Cancellation charges reflect costs we have already committed on your behalf. Restricted-area permits, domestic flight tickets and peak-season lodge deposits are generally non-refundable once issued, and this is the main driver of any cancellation charge. The applicable scale is set out in your quote. We recommend cancellation cover as part of your travel insurance.
4. Cancellation or change by us
We may cancel or alter a trek for reasons of safety, weather, natural disaster, political disruption, or where a minimum group size required by law for a restricted area is not met. Where we cancel for our own reasons you may transfer to another departure or receive a refund of monies paid to us. We are not liable for your international airfare, visa costs or other independent arrangements.
5. Travel insurance — mandatory
Comprehensive travel and medical insurance is a condition of travelling with us, not a recommendation. Your policy must cover trekking to the maximum altitude on your itinerary and must include helicopter evacuation and medical repatriation — many standard policies exclude activity above 4,000m. We ask for a copy of your policy before departure and reserve the right to refuse participation without it.
6. Safety and the guide's authority
Your guide has final authority on all safety decisions on the trail, including the decision to descend, to turn a group around at a pass, to reroute, or to end an individual trekker's participation on medical grounds. These decisions are not open to negotiation and no refund is due for itinerary days lost to a safety decision. You must disclose relevant medical conditions before departure and report altitude symptoms honestly.
7. Fitness and suitability
Each trek page states its difficulty grade, daily walking hours and maximum altitude. Treks graded Strenuous or Challenging require previous multi-day high-altitude trekking experience, and we may decline a booking where we judge a route unsuitable for a client's stated experience or fitness.
8. What is included
The "Cost Includes" and "Cost Excludes" lists on each trek page form part of these terms. In summary, your price covers permits, a licensed guide, porter service, teahouse accommodation, all meals on trek, listed hotel nights and ground transport. It does not cover international airfare, visas, insurance, personal equipment, drinks, tips, or emergency evacuation costs, which are recoverable from your insurer.
9. Permits and documentation
Permits are issued in your name based on the passport details you supply. You are responsible for holding a passport valid for at least six months beyond your travel dates, and for obtaining your Nepal visa. Restricted areas require a minimum of two trekkers and a licensed guide by law; we cannot obtain solo permits for those regions under any circumstances.
10. Itinerary changes on the trail
Mountain itineraries are indicative. Weather, trail conditions, pass closures, flight cancellations at Lukla or Jomsom, and the health of the group may all require changes. We will always aim to deliver the substance of the itinerary you booked, and we will explain any change at the time it is made.
11. Responsible conduct
We ask clients to respect local customs and religious sites, to carry out their waste, to seek permission before photographing people, and to treat guides, porters and lodge staff with courtesy. We reserve the right to end the participation of any client whose conduct endangers or seriously disrupts the group, without refund.
12. Complaints
If something goes wrong, tell your guide at the time so we have a chance to fix it. Unresolved complaints should be sent in writing to info@paradiseadventuretreknepal.com within 28 days of your trek ending.
13. Governing law
These terms are governed by the laws of Nepal, and any dispute falls to the jurisdiction of the courts of Kathmandu.
